Full Job Description
The Invoicing Specialist is a key member of the Workforce Edge services operations team. They are responsible for generating timely invoices, tracking progress, and managing communication with Education Providers and Employer partners. This position also reconciles accounts, works with other internal stakeholders to ensure the ledger is up to date, and performs and facilitates quarterly audits.

Essential Duties and Responsibilities:

  • Completes and sends invoices for students utilizing tuition assistance.
  • Performs follow-up notifications on outstanding balances from unpaid invoices.
  • Acts as system administration for first line of transaction approvals
  • Performs routine reconciliation to ensure the payments received align with our bank accounts and ledgers.
  • Maintains quality assurance, adhering to SOX guidelines related to revenue recognition
  • Acts as a strong internal partner, collaborating with internal teams to support departmental/divisional goals and partner relationships.
  • Enter data accurately and efficiently, verify data for completeness, accuracy and adherence to established guidelines
  • Collect and organize data from various sources, collaborate to develop reporting as needed
  • Other additional duties as assigned.

Job Skills:

  • Comprehensive understanding of billing functions and the internal and external collections process.
  • Keen eye, and precise attention to detail.
  • Strong, verbal and written communication skills
  • Proven track record of success in customer service.
  • Excellent computer skills, with strong proficiency in spreadsheet/database use.

Work Experience:

  • 1-2 years of financial/accounting/billing experience or other administrative support experience.
  • Experience with general ledger understanding (credits and debits), spreadsheet/database use, and word processing software.
  • Bonus: Experience with SOX compliance/guidelines

Education:

Bachelor’s degree preferred.

Other:

  • Must be able to travel occasionally should a business need arise. For most roles travel would not be common. Travel may involve plane, car or metro. In accordance with ADA policies, reasonable accommodations regarding travel limitations can be provided. Travel will be more common for roles such as Account Executives (25 - 50%), senior leaders (10 – 20%) or Capella Core Faculty (5 – 10%).
  • Ability to work onsite in Corporate or Campus location (in a typical office environment) may be required based on role. If so, this would include being mobile within the office, including movement from floor-to-floor using elevators or stairs.
  • If offsite or hybrid role, Remote role-must have access to work in setting which enables meeting all requirements of the role (including privacy, reliable internet access, phone, ability to video conference, etc.) at a remote location.
  • Faculty and Federal Work Study roles require access to work in setting which enables meeting all requirements of the role (including computer, privacy, reliable internet access, phone, ability to video conference, etc.) at a remote location.
  • This role may require lifting, however reasonable accommodations will be provided in accordance with our ADA policies.
  • Must be able to meet critical thinking and problem solving aspects aligned to job duties, as well as effectively communicating with co-workers.
  • Must be able to work more than 40 hours per week when business needs warrant. Accommodations related to schedule may be considered.
  • Able to access information using a computer.

$21.50 - $32.75 - Hourly
