The WERS Traffic Coordinator/Administrative Assistant plays a key role in managing WERS’s industry-specific software to maintain the client database and ensure accurate generation and reconciliation of physical and electronic daily traffic logs. Acting as a liaison between the Underwriting, Production, and Programming departments, the Traffic Coordinator/Administrative Assistant also performs critical end-of-month procedures and supports additional administrative tasks as assigned.ESSENTIAL JOB DUTIES
- Order entry and approval using Marketron Visual Traffic software.
- Use Triton Digital TAP (The Ad Platform) to schedule pre-roll, mid-roll, or another digital inventory.
- Traffic log maintenance for optimal placement of underwriting spots, promos, and PSAs.
- Daily export of traffic and music logs to Enco automation for broadcast playback.
- Reconciliation of logs to confirm inventory playback as scheduled.
- Client payment processing using the Accounts Receivable module of Marketron Visual Traffic software.
- Execute end-of-month procedures, including the generation of invoices and monthly reports that capture recent underwriting activity.
- Administrative duties, including mail sorting, answering telephone and email inquiries, processing payment requests, supply ordering, and vendor outreach as needed.
- Provide assistance to the underwriting department with creating copy in compliance with FCC-compliant copy; Identifying and procuring potential underwriters; Assisting with sales and media kit creation; Managing production workflows; Maintaining client account records;
- Responding to client inquiries.
- Interact with student managers to ensure production is complete
- Compliance with all Emerson College policies and guidelines for the safety and well-being of the campus community.
QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to perform the job effectively.
- A Bachelor’s degree or 2-3 years of traffic experience with a commercial or non-commercial radio station.
- 2-3 years of experience in finance, accounting, or accounts payable/receivable work and analytical reporting.
- Experience with Marketron Visual Traffic Software.
- Previous experience working with students and office assistant experience is highly desired.
KNOWLEDGE, SKILLS, AND ABILITIES – This may be representative but not all-inclusive of the knowledge, skills, and abilities commonly associated with the job.
- Professional phone manners and customer relations skills.
- Working knowledge of Enco radio automation software.
- Knowledge of FCC regulations involving underwriting.
- Familiarity with accounting software as it relates to reporting functionality.
- Ability to analyze budgetary reports to identify areas of concern and make recommendations/corrections.
- Ability to work successfully as both a member of a team and independently with minimal supervision.
- Ability to think critically and make clear, well-reasoned, and timely decisions.
- Proficiency with G-Suite/Microsoft Office applications (Gmail, Google Docs, Google Sheets, MS Word, Excel).
- Strong attention to detail and analytical skills.
- Customer service orientation and negotiation skills.

Hybrid
This position is primarily a hybrid role with expected days in the office each week.
The hybrid arrangement will be made upon hire. To ensure operational effectiveness, candidates must reside within a reasonable commuting distance of the Boston campus. This arrangement must be approved as outlined in the Remote Work Policy.
