We currently have an immediate opening for a Sales Administrator located at our headquarters in City of Industry, CA.
Job Summary:
The Sales Administrator is responsible for supporting the Latin America Sales Organization to drive growth and achieve its business objectives. The key responsibilities include order management, project coordination, dealer support, service partnerships, and regional marketing activities. This role will communicate and collaborate with internal teams and external stakeholders to ensure successful project outcomes. Fluency in both English and Spanish is required for this position.
Essential Functions:
- Generate quotes, complete purchase orders, and respond to customer inquiries.
- Collaborate with Sales Coordination on delivery times and shipping quotes.
- Track, coordinate, and facilitate major projects from inception to completion, ensuring seamless collaboration between all stakeholders.
- May act in role of Project Leader to organize and coordinate the timely delivery of tenders or other initiatives involving dealers, integrators, end users, and other appropriate parties.
- Support and work with dealers and sales team for account planning, technical consultations, timely preparation and submission of tenders or other initiatives, and customer presentations.
- Research and recruit new dealers and agents.
- Respond to customer inquiries and provide product information.
- Manage and channel customer concerns effectively.
- Work with the service department to secure quotes and coordinate training sessions.
- Connect customers with Service Representatives that can help them with all related Service challenges and inquires.
- Work with marketing to plan, organize, and implement local industry events and trade shows (attend and/or exhibit).
- Support marketing in the coordination and implementation of local research and market intelligence initiatives.
- Work with the Director of Sales and sales team to prepare and execute Latin America Sales Plans.
- Maintain CRM system and departmental knowledge bases.
- Coordinate business travel arrangements and meeting materials.
Education and Experience:
- Bachelor's degree in Business Administration or a related field;
- 4+ years of related experience;
- Or equivalent combination of education and experience.
- Proficiency in MS Excel, with knowledge of Word, PowerPoint, and Outlook essential.
- Strong interpersonal skills, with experience influencing and liaising with all levels of staff and external stakeholders.
- Demonstrated organizational and time management skills.
- Strong ability to take initiative.
- Excellent customer service skills.
- Experience with HubSpot or other CRM platforms preferred.
- Fluent in both written and verbal English and Spanish.
- Knowledge of Portuguese preferred.
- Valid passport with ability to travel domestically and internationally.
Position Type/Expected Hours of Work:
- Full-time position.
- Hours: 8:00am to 5:00pm, occasional overtime may be required as job duties demand.
- Hours subject to change based on the needs of the business.
- This position will require occasional domestic and international travel for industry events and conferences, estimated 2 weeks per year.
