Who will you be working with?

Wabtec’s Digital Intelligence Signaling & Systems Project Management team is recognized as an industry leader in the successful delivery of complex integrated system projects, involving signaling, train control, communications, and back-office solutions with a strong focus on project execution, project management, schedule adherence and customer satisfaction. As a Project Administrator will represent Wabtec in all work efforts associated with our Shortline Railroad clients

How will you make a difference?

As a member of Wabtec’s Digital Intelligence Signaling & Systems group, you will be responsible for performing various task and duties as assigned by the Customer or Wabtec Manager which may include but not be limited to assisting the Customer with duties related to planning, scheduling, and administrative duties involving the management of railroad public projects associated with Railroad short line rail properties.

Role:

This position will involve assisting Customer in an administrative manner, including interacting with various departments within Wabtec and the Customer, as well as the Clients of Customer as directed to provide a quality, professional representation; assisting with the creation of various documents, corresponding with internal and external clients and customers for scheduling and coordination of meetings, preparing agendas, obtaining information from internal and external customers, as well as various general administrative tasks.

RESPONSIBILITIES:

  • Strong initiative and multi-tasking skills
  • Time management skills with a strong sense of prioritization and follow through
  • Strong planning, organizing, coordinating, problem solving skills
  • Effective communications skills (both speaking and writing)
  • Experience scheduling meetings, publishing agendas, and taking minutes
  • Experience making travel arrangements, preparing visit requests, and expense reports
  • Demonstrate experience and skillset including Microsoft Office computer programs (specifically, EXCEL, Outlook, PowerPoint, Word)
  • Support and draft department and project correspondence and/or reports
  • Screens/prioritizes/directs incoming calls and email/correspondence taking appropriate actions as necessary
  • May maintain reporting manager(s)’ and corresponding department’s calendars, coordinate meetings, and/or set appointments
  • Provide clerical support, direction, guidance, and/or training to department
  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies
  • Assist in internal documentation various administrative tasks
  • May require periodic travel for external meetings as needed or requested by Wabtec or the Customer.

Desired Skills and Experience:

  • Associate’s degree in business administration, preferred
  • 5+ years administrative assistance experience, preferred
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Ability to effectively interact with all levels of employees and management; excellent at relationship building skills
  • Ability to work independently and/or with multiple persons or departments and external Agencies in a professional manner.
  • Strong multi-tasking ability
  • Strong knowledge of MS Project, MS Word, Excel, Outlook, Microstation and/or similar office applications
  • Knowledge of Technical Writing

Minimum Core Competencies:

  • Road Worker Protection – Annual Certification will be required
  • e-RAILSAFE System Contractor- Willing to participate
  • First Aid and CPR Certified- Willingness to become certified

Working Conditions:

  • Office environment with some travel to site locations
  • Valid Driver License
  • 10%-15% Travel required
