Job Summary

Experienced scheduler with proven ability to function at a high level, to coordinate provider clinic schedules, patient and procedural scheduling for all patients within our programs. Direct supervision is received from the FCVC Associate Administrative Manager.

Responsibilities*

Essential:

  • Coordinate provider clinic schedules, patient and testing scheduling for all patients within our Pulmonary Hypertension program. 
  • Opening and closing schedules, coordinating new patient referrals, rescheduling patients according to Ambulatory Care Operating Principles. 
  • Complex management of diagnostic testing and pre-post procedure scheduling, as well as coordination with clinical research trial requirements. 
  • Provide expert skill at clinic scheduling/grid management and adherence to standard work procedures, including thorough documentation standards. 
  • Anticipate and problem solve issues with clinic and ancillary testing schedules. 
  • Serve as a role model for service excellence and FCVC core values. 
  • Manage daily work queues. 
  • Manage phone calls from internal and external customers related to our clinics. 
  • Staff members in this classification are expected to exercise judgement in identifying problems, seeking and implementing solutions.
  • Perform other related duties as assigned.

    Required Qualifications*

    • High School Diploma or GED. 
    • 3 - 4 years of experience. 
    • Knowledge of basic medical terminology. 
    • Familiarity with obtaining medical records or professional medical billing. 
    • Financial counseling experience for healthcare patients. 
    • Prior experience performing complex scheduling 
    • Demonstrated customer service excellence and attention to detail 
    • Welcoming and approachable demeanor with a consistently positive and professional attitude 
    • Ability to work well independently as well as collaboratively within a team setting 
    • Strong organizational, problem-solving, and prioritization skills 
    • Ability to multi-task and work in a high-volume area 
    • Demonstrated active listening, verbal, written and information technology communication skills. 
    • Must be very comfortable working with commuters and have a general knowledge of office practices.
    • Demonstrated excellent attendance and reliability 
    • Requires flexibility in all aspects of work assignments.

    Desired Qualifications*

    • Experience working within a large, complex, outpatient healthcare setting. 
    • Knowledge of MiChart (EPIC-Cadence) and ORMIS scheduling; demonstrated proficiency with MiChart, Careweb, Microsoft Outlook, and ability to navigate between systems. 
    • Experience with the ORMIS scheduling platform. 
    • Previous experience working with clinical staff (nurses, mid-level providers, and physicians). 
    • Working knowledge of cardiology/vascular/surgical terms, testing and procedures. 

    Modes of Work

    Union Affiliation

    This position is covered under the collective bargaining agreement between the U-M and the Service Employees International Union (SEIU), which contains and settles all matters with respect to wages, benefits, hours, and other terms and conditions of employment.

    Background Screening

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
