Full Job Description
Perform a variety of complex duties in support of Student Services.

This is the second level of a two level series Positions at this level are assigned to the day-to-day complex duties in addition to general clerical work related to the assignment. Employees in this position have experienced knowledge of student services programs and procedures to independently assist students, staff, and community members at the front counter, over the phone, and through written and electronic correspondence.  May provide guidance to Student Services Assistant I.
This position will be available on a remote basis to residents of Arizona only

  •  Perform a variety of complex duties in support of Student Services. Handle multiple priorities and tasks simultaneously and makes decisions independently according to established guidelines.
  • Guide students through the online admissions process, assisting students in the selection of appropriate programmatic courses; including dates, times, and campuses, as guided by the student’s identification of a specific CAC program certificate or associates degree.  Register students in person, through email and guide student on how to register through the student portal.  Assist students declare the appropriate CAC program based upon the students’ stated vocational or academic goals. Trouble shoot issues student may have with admission and registration.
  • Assist with transcript requests and processing.  Receive requests, print transcript forms, verify payments and holds, and mail out orders.
  • Assist with prison certificate awarding.  Collect, evaluate, and print transcripts and certificates.  Provide reports to Prison Program Director.
  • Verify all High School Program (Early College, Dual Enrollment) documents and processes.  Receive forms, check GPA for eligibility, provide financial aid information on credit and award amounts, and notify students if they are no longer eligible for High School Programs
  • Collect, review and record receipt of documents needed for verification process and submit to district financial aid office. Receive incoming telephone calls for financial aid with regard to required documents for verification, award, and appeal status. Work in conjunction with Financial Aid to ensure student information is accurate for financial aid disbursement.
  • Assist with reviewing error reposts and review/submit degree verifications.  Respond to requests if holds exist and NSLDS discrepancies. 
  • Provide   information   and/or   training   in   policies   and   procedures   of   the department. Work to resolve problem situations using independent judgment and decision making according to established guidelines and procedures.  May provide guidance to Student Services Assistant I.
  • Perform other duties commensurate with the functions and level of the position to include the recruitment and retention of students.


EDUCATION: High School diploma or GED

EXPERIENCE: Two (2) years of applicable experience

Background Verification:  As a condition of employment, all candidates accepting an offer of employment for a full-time, part- time, temporary, student worker, or volunteer position, will be required to undergo a Background Verification.  Employment with Central Arizona College is contingent upon the successful completion of the background verification.  The level the background verification for this position is: Standard level.

  • Knowledge of specific processes, policies, and procedures of office management and workflow procedures to include effective management of workload, i.e. prioritizing, and organizing work.
  • Knowledge and skill in various word processing, spreadsheet, database, presentation, and integrated information software, systems, and associated hardware, e.g. personal computers.
  • Skill in gathering, compiling, and presenting information in oral and/or written form.
  • Effective communication skills, both oral and written.
  • Strong interpersonal skill as applied to interaction with a culturally diverse populations, college administrators, faculty, staff, students, and the public.
  • Ability to work independently and as a member of a team in accomplishing tasks.
  • Ability to analyze situations, develop solutions, and make independent decisions based on established guidelines.
  • Skill in processing a variety of financial and non-financial transactions, verify accuracy, match against documentation, code to proper account, prepare necessary forms or reports, post transactions, and reconcile and retrieve information as needed.
PHYSICAL REQUIREMENTS:
Duties performed causes light fatigue of eyes, fingers, or other faculties as a result of repetitive motion and/or long periods of standing or sitting.  Duties require little physical effort in work with light to moderate (up to 20lbs) easy to handle materials.

WORKING CONDITIONS:
Job is performed in general office or comparable working area with many and frequent distractions such as noise, interruptions, or congested and occasionally confined work areas with exposure to disagreeable elements.

Important Notice: As a condition of employment, all full time Central Arizona College employee’s automatically become members of the Arizona State Retirement System (ASRS). This is a pension system that requires mandatory contributions from the employee with a matching contribution from the employer.  The 24-25 fiscal year contribution rate is 12.27%.  Please note this rate is subject to change on a fiscal year basis. Membership to ASRS is a condition of employment and is not optional unless you are at least 65 years of age and meet the opt out eligibility requirements, or are a retiree from ASRS .
