Job Description for Grant Administrator

Provide post-award financial analysis and support for grants and contracts received by the Research Foundation for SUNY at NY CREATES. 

Responsibilities for Grant Administrator

This position is responsible for:

  • Responsible for accurate and timely review and approval of non-procurable expenditure requests within delegated authority and in compliance with all applicable federal, sponsor, Research Foundation regulations and IRS requirements.
  • Responsible for accurate and timely review and approval of payment request against Purchase Orders established by Purchasing Staff within delegated authority and in compliance with all applicable regulations and requirements as stated above.
  • Responsible for sub-recipient monitoring inclusive of invoices receipt, review, and approval to ensure compliance with federal, sponsor, and Research Foundation guidelines.
  • Review and approve all labor distribution activity for Research Foundation payroll.  Make determinations on available funding and appropriateness of charge.
  • Ensure all related labor distribution data entry is completed in an accurate and timely manner.
  • Review and monitor cost share requirements and expenditures.  Collect, review, and document all acceptable cost sharing and release time obligations as appropriate and in a timely and accurate manner.
  • Coordinate account closeout processes as appropriate; serve as liaison as necessary with NY CREATES finance staff and other sponsored program administrative staff.
  • Review supporting materials for all new and renewed grants and contracts to become familiar with the portfolio of NY CREATES sponsored programs.  This includes project subject, budget, and timeframes, the reporting requirements, expenditure restrictions, and any unique stipulations of the project and funding sponsor, and the renewal, extension, or termination provisions of the agreement.
  • Ensure accounts are established and maintained accurately and timely in the business system, in compliance with all applicable RF, federal, and sponsor regulations, and supported by appropriate documentation. Leverage the business system account structure and billing functionalities to ensure efficiencies and compliance with reporting requirements.
  • Disseminate appropriate account information to other sponsored programs administrative staff as appropriate.
  • Establish and maintain award and billing files. Ensure information is complete, organized, and compiled timely.


Requirements:

Minimum Requirements for Grant Administrator

  • Bachelor's degree in business or related field and two years' experience in a similar position.
  • The ability to manage multiple priorities in a fast-paced environment, have strong organization and communication skills, and display the ability and willingness to make independent decisions. 
  • Experience with Microsoft Office or an equivalent software suite. 
  • This position is contingent on the satisfactory completion of a background check; this position may require annual background checks.

Salary Range: $60,000-$70,000

*Posted ranges are determined upon experience and education
