Your Role:
We are seeking a dynamic, proactive, confident, and enthusiastic Executive Assistant to support and partner with AllianceBernstein’s Chief Operating Officer (COO). The ideal candidate will continuously seek ways to enhance productivity and capacity for the COO and will be a thought partner, sounding board for ideas, problem-solver and a part of the decision-making process. The role is based in our Nashville Headquarters, working directly with the COO.
While the majority of the role will involve the typical administrative responsibilities outlined in the next section, the ideal candidate will add further value by:
- Acting as a Strategic Partner: Engage in high-level discussions and provide input on decisions contributing to the strategic direction of the organization.
- Enhancing Leadership Effectiveness: Partner closely with the COO and other members of leadership to streamline processes, improve efficiency, and drive organizational productivity.
- Developing and Implementing Initiatives: Take the lead on special projects and initiatives that align with the COO's vision and organizational goals.
- Communicating Effectively: Write memos, draft announcements, talking points, and compose emails on behalf of the COO, ensuring clear, professional, and effective communication across the organization.
Specific administrative responsibilities include but are not limited to:
Executive support and Coordination:
- Providing proactive, thoughtful, high-quality support.
- Interacting with various professionals, senior leaders and other administrative professionals throughout the firm.
- Multitasking efficiently, managing multiple calendars and requests with the ability to anticipate needs and prioritize accordingly.
- Managing the needs of the offices, such as ordering supplies, liaising with facilities, etc.
- Handling confidential information with discretion and maintaining privacy at all times.
- Assisting in the preparation of regular reports and presentations.
Scheduling and Meeting Management:
- Calendaring, such as scheduling calls/meetings across multiple parties (internally/externally) and helping organize such events.
- Gathering and preparing materials for internal/external meetings.
- Providing and coordinating general support to external visitors for meetings.
- Coordinating conference calls (Webinars/Zoom) for internal/external meetings/events
Travel and Expense Management:
- Booking travel with our appointed agency.
- Coordinating itineraries and agendas for travel.
- Submitting and approving expenses on behalf of the Executive.
Qualifications and skills we're looking for:
The ideal candidate should have:
- An Associate’s degree in business administration or higher.
- Experience as an Administrative Assistant, Executive Admin or Secretary in a professional capacity.
- Proficiency in the use of typical office desktop packages, such as Outlook, Word, and Excel PowerPoint.
- Strong written and verbal skills.
- Strong critical thinking, problem-solving and decision-making skills.
- Ability to operate independently with often little direction.
