Department Summary

The Division of Academic Affairs builds, sustains, and continually enhances an environment of teaching, learning, and scholarship that meets and readily adapts to the changing needs of students, faculty, librarians, and staff; promotes the generation and sharing of new knowledge and innovative approaches; and actively cultivates professional advancement, public responsibility, and personal well-being.The Oce of the Provost works with divisional and campus constituencies to advance the core values of academic excellence, opportunity, and innovation. Among other key responsibilities, the Oce coordinates the planning of new degree programs, hiring and evaluation of faculty, and ensures an effective teaching and learning environment.BSU's degree programs are offered through six colleges: the Ricciardi College of Business, the College of Education and Health Sciences, the College of Humanities and Social Sciences, the Bartlett College of Science and Mathematics, the College of Continuing Studies, and the College of Graduate Studies. Student support services are offered through several oces within the Division of Academic Affairs: the University's Library Services, Academic Achievement Center, and the Registrar. Faculty support services are available through the Center for the Advancement of Research and Scholarship, the Oce of Grants and Sponsored Projects, the Oce of Teaching and Learning, the Oce of Institutional Research, and the Oce of Assessment.The Minnock Institute for Global Engagement (MIGE) provides opportunities to the BSU community for academic programs, travel, research, and community service. Position Summary

We seek equity-minded applicants who demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, religion, disability, gender identity, sexual orientation, and ethnic backgrounds present in our community and of the communities we serve.The Assistant Director, Budget, in the Division of Academic Affairs, is responsible for preparing, analyzing, overseeing, and managing the budget. This includes monitoring all academic budgets and implementing other assigned projects. The Assistant Director works closely with budget and finance personnel to effectively implement fiscal policies. Additionally, this position proactively works with faculty, deans, directors, and academic departments on budget-related issues. This involves resolving problems and ensuring the division utilizes resources in a fiscally responsible manner. SUPERVISION RECEIVED: Reports to the Provost and VP of Academic Affairs SUPERVISION EXERCISED: Supervises Budget Assistant, Administrative II, Office of the ProvostThis is an APA position and is subject to the terms of that union agreement.This position is located on campus in Bridgewater, MA. This position is eligible for hybrid / remote work in accordance with BSU remote work policy.

Essential Duties

  • Responsible for the preparation, analysis, oversight, and management of the Academic Affairs divisional budget. Monitors all academic budgets and oversees the implementation of other assigned projects.
  • Responsible for training academic college and departmental budget managers in the budget practices of the university and the division.
  • Assists and advises the Senior Associate Provost and Chief Data Ocer with the development of budgets for Academic Affairs strategic initiatives in the campus planning process.
  • Responsible for the implementation of the university's fiscal policies effectively across the Division of Academic Affairs ensuring fiscally responsible use of institutional funds.
  • Guides faculty, deans, directors, and departmental staff in resolving budget-related issues and purchasing goods and services.
  • Disburses the faculty professional development fund and tracks submissions and returns under the direction of the Associate Provost for Academic and Faculty Affairs.
  • Responsible for ensuring that all forms received for signature from Accounts Payable and Payroll are correctly coded and properly funded. Works closely with both oces to ensure accurate processing and timely submittal of forms and invoices.
  • Oversees several faculty-led program budgets including Faculty Librarian Research Grants (8 per semester-16 concurrent FLRGs per year) and the acquisition of capital expenses, handled by the Budget Assistant.
  • Manages faculty start-up expense account procurement and accounting. Manages new faculty relocation reimbursement.
  • Facilitates the requisition and renewal of contracted software programs. Purchases academic and new faculty software, maintains logs of software purchases and expiration dates, and tracks licenses and download information to assist Information Technology staff downloading software onto faculty and lab computers.
  • Perform other duties as may be assigned.

Required Qualifications

  • Bachelor's Degree or academic credentials and experience suitable to fulll position responsibilities.

  • Minimum five years of experience in managing budgets or similar fiscal/accounting work.

  • Ability to manage workload in a high volume oce environment.

  • Knowledge and understanding of nance and budgeting principles, practices and procedures.

  • Ability to understand and apply the laws, rules, policies and procedures governing higher education practices.

  • Proven organizational and analytical skills. Excellent oral and written communications skills.

  • Ability to work independently and diplomatically. Ability to follow established protocol.

  • Excellent and demonstrable interpersonal skills.

Preferred Qualifications

  • Competence with Excel and purchasing software (BearBuys and BANNER).
