Administration Assistant - VP Client Relations, VP Supply Chain & VP Merchandising
OVERVIEW
The Administration Assistant to the VPs Supply Chain, Client Relations and Merchandising is both an administrative and strategic role; that requires a combination of focus and flexibility, as well as a willingness to play an active, behind-the-scenes role. The role requires a highly resourceful individual with strong emotional intelligence, self-motivation, and strong and organizational analytical skills.
The Administration Assistant will be open and approachable and will work with both the central teams and the local teams in a transparent, united, and mutually supportive manner. Key Accountabilities
- Coordination/orchestration of projects or commitments directly involving the Executive VPS. Tact, diplomacy, and persistence are essential qualities in executing this dimension of the role.
- Facilitation of preparation of material and documents needed for Executive meetings/events. This responsibility is focused on planning, calendarizing and organizing content with the team and assisting in their preparation for the meetings/event if required.
- Key Meeting Preparation/Facilitation:Attend Team related meetings, capture major take-a ways, and work with executive team to ensure follow up, Monitor progress/achievement of next steps.
- Coordinate and ensure alignment across multiple functions on all initiatives, events and activations (Blue Book, Regional Holiday Toolkits - Polling, Collateral, Storytelling)
- Prepare presentations on strategic topics and areas in line with the needs of business
- Support the Events team with Vendor Management; (Budget follow up, Payments,) across Client Relations, Merchandising and Supply Chain
- Support the Client Experience team with Partnership Management Sporting (Giants, Yankees, US Open, Masters), Entertainment (Sofi Stadium),
- Executive Calendar management, T&E & other ad hoc duties when required.
Specifically, the Administration Assistant will:
- Become aware of issues from an integrative, executive leadership perspective
- Be exposed to senior executives with the opportunity to learn from their strengths and developmental areas
Qualifications
- Strong communications skills (written/verbal) and interpersonal skills.
- Results/action-orientation; project management skills
- 3+ years’ experience in a previous administrative role
- Organizational and political agility; developed negotiation skills
- Unquestionable personal code of ethics, integrity, diversity and trust
- Able to successfully navigate within varying degrees of ambiguity in a fast-paced environment
- Maintain an up to date understanding of the changing market and business environment

The hiring range for this position ranges from $26.61 - $35.99 per hour. The rate of pay offered will be dependent upon candidates’ relevant skills and experience.
